Cambridge Cyrenians promises to respect any personal data you share with us, or that we receive from other organisations and keep it safe. We aim to be clear when we collect your data and not do anything you wouldn’t reasonably expect.

Where we collect information about you from

We collect information in the following ways:

  • When you make a donation to us directly, or offer to volunteer
  • When you donate or offer your time indirectly

Your information may be shared with us by independent event organisers, for example the London Marathon or fundraising sites like The Big Give or Virgin Money Giving, or volunteer recruitment agencies, such as Do it. These independent third parties will only do so when you have indicated that you wish to support Cambridge Cyrenians and with your consent. You should check their Privacy Policy when you provide your information to understand fully how they will process your data.

We don’t collect any personal information when you simply access our website.

What we collect and how we use it

The type and quantity of information we collect and how we use it depends on why you are providing it.

If you support us, for example make a donation, volunteer or register to fundraise, we will usually collect:

  • Your name
  • Your contact details

We do not collect or store your bank details.

Where it is appropriate we may also ask for:

  • Why you have decided to donate or support us. We will never make this question mandatory, and only want to know the answer if you are comfortable telling us.

We will use your data to:

  • Administer your donation, volunteering or support your fundraising, including processing gift aid
  • Keep a record of your relationship with us

We do not use profiling or screening techniques.

Direct Marketing

Cambridge Cyrenians does not carry out any direct marketing. We will not contact you to ask for donations or other support. We do not use third party organisations to do this on our behalf. We also will not sell or share personal details to third parties for the purposes of marketing.

How we keep your data safe and who has access

We ensure that there are appropriate technical controls in place to protect your personal details and we limit who has access to your information, which is only accessible to staff who need to know your details.

We do not store any information outside the European Economic Area (EEA).

We may need to disclose your details if required to the police, regulatory bodies or legal advisors.

We will only ever share your data in other circumstances if we have your explicit and informed consent.

How long we keep your information

We will not keep your personal information for longer than need be. For those simply offering to volunteer, we will keep you’re a record for no more than two years after your last contact with us. For donations and the claiming of gift aid, we are required by HMRC to keep a record for six years after the end of the financial year in which your donation was made.

Your right to know what we know about you, make changes or ask us to delete your data

You have a right to ask us to delete your personal data, and if it’s not necessary for the purpose you provided it to us for (e.g. a record for the purposes of claiming gift aid.) we will do so.

You have a right to ask for a copy of the information we hold about you.  If there are any discrepancies in the information we provide, please let us know and we will correct them.

In order to carry out either of the above we may need you to provide proof of identity.
